Outreach and Development Coordinator

Classification: Full-time, salaried with benefits. This is a hybrid position with regular in-person office meetings and occasional field trips around Central Indiana. Occasional evenings and weekends will be necessary for events. CILTI operates under a 35-hour work week, with some weeks requiring more.

CILTI preserves the best of Central Indiana’s natural areas to benefit plants and animals and allow Hoosiers to experience the wonder of the state’s natural heritage today and into the future.

Position Summary: The Outreach and Development Coordinator is an exciting new position that will play a key role in connecting people to CILTI’s mission through events, volunteer engagement, and donor stewardship. This position plans and coordinates events and volunteer programs, and collaborates with staff, board members, and volunteers to deliver meaningful engagement and outreach experiences. The coordinator also supports fundraising efforts through accurate donor data management, gift processing, and acknowledgments, ensuring a positive and cohesive experience for CILTI’s supporters.

Responsibilities

Development

  • Execute day to day data entry and gift processing in Blackbaud Raiser’s Edge. This includes entering new gifts, preparing check deposits, processing direct deposit logs and credit card logs, and other gift entry tasks.
  • Responsible for following current processes to ensure information entered is accurate and working with Development Director to streamline these processes for efficiency when possible.
  • Prepare and process donor acknowledgment letters for development staff or leadership to personalize and sign as appropriate. Must maintain confidentiality of all donor information.
  • Support development mailings. Responsible for the printing and mailing logistics. These include member-wide spring and year-end appeals, as well as smaller intermittent mailings such as postcards, targeted campaigns, and new member packets.
  • Work with the development and communications staff to track key dates, requirements, and documents for grant applications/reports.
  • Work with administrative staff to order and design promotional materials (print materials, CILTI clothing, giveaways) when necessary for donors or events.

Outreach

  • Responsible for planning and executing an annual calendar of events designed to engage CILTI’s many audiences (new and prospective constituents, current donors, planned giving donors, board members, and volunteers). Typical CILTI events include: Public hikes at nature preserves, educational events, member meet-and-greets, occasional community outreach events.
  • Track attendance and event data in the donor database.
  • Analyze and report on participants’ experience through follow-up evaluations, incorporating feedback for continuous improvement of events.
  • Manage event logistics, including venue coordination, catering, rentals, etc.
  • Work with communications staff to promote CILTI events and community presentations, including drafting online event listings.
  • Support social media and other digital communications through quality photography and timely updates on events.
  • Manage CILTI volunteer program:
    • Respond to volunteer inquiries
    • Maintain volunteer participation records in database and track volunteer liability waivers
    • Plan and execute corporate volunteer workdays for corporate sponsors
    • Provide logistical support to the White River Docent program
    • Assist staff in identifying meaningful volunteer opportunities that meet an organizational need or strategy.
    • Plan and support volunteer workdays in cooperation with the CILTI’s field stewardship team.

Requirements

Education requirements: A minimum of a Bachelor’s degree required.

Specific knowledge/skills/experience

  • At least 2 years of office experience, experience at a nonprofit a plus.
  • Experience coordinating events.
  • Strong relationship-building skills, with the ability to interact effectively with diverse personalities and populations.
  • Experience with nonprofit fundraising/data best practices is a strong plus.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Database experience is a plus, especially Blackbaud Raiser’s Edge.
  • Knowledge of operation of standard office equipment and administrative procedures and systems, such as filing and record-keeping.
  • Excellent written and verbal communication skills.
  • Photography and basic videography skills a plus.
  • Strong project management experience, including overseeing multiple projects through to success, and meeting project deadlines.
  • Ability to lift up to 50 pounds and traverse flights of stairs.

Compensation and Benefits

The starting salary for this role, depending on experience, is $38,000-$45,000/year. CILTI offers generous and flexible paid time off and a comprehensive benefits package.
