Development Coordinator

Classification: Full-time, salaried with benefits. This is a hybrid position that is primarily an in-person and in-office role with work-from-home days possible. Occasional evenings and weekends will be necessary for events. CILTI operates under a 35-hour work week, with some weeks requiring more.

CILTI preserves the best of Central Indiana’s natural areas to benefit plants and animals and allow Hoosiers to experience the wonder of the state’s natural heritage today and into the future.

Position Summary: The Development Coordinator is an exciting position that will play a key role in connecting people to CILTI’s mission through donor stewardship. This position supports fundraising efforts through accurate donor data management, gift processing, and acknowledgments, ensuring a positive and cohesive experience for CILTI’s supporters.

Responsibilities:

  • Execute day-to-day data entry and gift processing in Blackbaud Raiser’s Edge. This includes entering new gifts, preparing check deposits, processing direct deposit logs and credit card logs, and other gift entry tasks.
  • Receive all incoming mail and distribute it to the correct staff members, taking responsibility for receiving all donations and storing them correctly.
  • Responsible for following current processes to ensure information entered is accurate and working with the Director of Advancement to streamline these processes for efficiency when possible. This position is also responsible for overseeing processes to monitor data hygiene and for taking steps to correct errors in data.
  • Prepare and process donor acknowledgment letters for development staff or leadership to personalize and sign as appropriate. Must maintain confidentiality of all donor information.
  • Manage development mailings, including printing and mailing. Support member-wide spring and year-end appeals, and manage smaller intermittent mailings such as postcards, targeted campaigns, and new member packets.
  • Work with the development and communications staff to track key dates, requirements, and documents for grant applications/reports.
  • Ensure development filing systems are maintained and current, including organization of digital files.
  • Assist with correspondence and tracking of high-level donors, including CILTI’s planned giving program.
  • Work with the Director of Advancement and Outreach Manager to facilitate and encourage corporate giving.
  • Assist communication efforts by helping to produce effective donor proposals, reports, and other communications and assisting with the printing of those projects.
  • When necessary, aid the outreach manager with events and outreach needs.
  • Track and manage development materials in the office and keep the needed materials stocked.

Requirements:

Education: A minimum of a Bachelor’s degree is required.

Specific knowledge/skills/experience:

  • At least 2 years of nonprofit experience.
  • Experience with nonprofit fundraising/data best practices.
  • Experience with donor databases, Blackbaud RE NXT preferred.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Knowledge of operation of standard office equipment and administrative procedures and systems, such as filing and record-keeping.
  • Excellent written and verbal communication skills.
  • Strong project management experience, including overseeing multiple projects through to success and meeting project deadlines.
  • Ability to traverse flights of stairs.

Compensation and Benefits: $38,000-45,000/year
